Privacy Policy

Division D Connect (“the App”, “we”, “us”) is a community management app for members and leaders of Toastmasters District 87, Division D. This policy explains what information the App collects, how it is used, and the choices you have. The App is not affiliated with, endorsed by, or operated by Toastmasters International; “Toastmasters” is a trademark of Toastmasters International and is used here only to describe the community the App serves.
1. Information we collect
- Account & profile: name (including Chinese name), email address, phone number, birthday (month/day), profile photo, Toastmasters title/member number, and club/area/division affiliation.
- Sign-in: when you sign in with Apple, Google, or email, we receive your basic account identity (name, email) to authenticate you. We never see or store your password. If you use Sign in with Apple and choose Hide My Email, we only ever receive Apple's private relay address, not your real one.
- Event registrations: the details a registrant submits — name, email, phone, club, dietary requirements, and any payment-proof image uploaded.
- Attendance & participation records created by event managers.
- Content you create: event posters and photos, documents, announcements, chat messages, project/finance entries, and similar records.
- Notifications: a device push token (if you enable push notifications).
- Diagnostics: standard, limited technical logs (e.g. error reports) generated by our hosting provider to keep the service reliable and secure.
- Public Toastmasters data: the App displays publicly available District performance data (education awards, club performance, growth) to power member and club recognition. This is sourced from official Toastmasters reports.
2. How we use information
- To provide and operate the App — directories, org charts, events, registration, attendance, projects, finance, documents, and recognition.
- To send you relevant notifications (email, WhatsApp, and/or push) about registrations, approvals, reminders, and announcements.
- To calculate member and club rankings and recognition points.
- To keep the service secure, prevent abuse, and fix problems.
We do not sell your personal information, and we do not use it for third-party advertising.
3. Service providers we use
We share data only with service providers that help us run the App, and only as needed to deliver these features:
- Google Firebase (Authentication, Firestore database, Storage, Hosting, Cloud Functions, Cloud Messaging) — core app infrastructure.
- Google Calendar — only if you choose to connect it, to add events to your calendar.
- Twilio — to deliver WhatsApp notifications.
- Resend — to deliver email notifications.
- Meta (Facebook/Instagram) — for event link previews and optional social posting.
- Zoom — for optional online-meeting links.
These providers process data under their own privacy and security terms.
4. Data storage & security
Data is transmitted over encrypted connections (HTTPS/TLS) and stored on Google Cloud/Firebase infrastructure. Access is restricted by authentication and server-side security rules so that people can only see and edit what their role permits.
5. Data retention
We keep your information for as long as your profile or the related records (e.g. event registrations) remain active or as needed for division operations and recognition. You can request correction or deletion at any time (see “Your choices”).
6. Your choices & rights
- Access & correction: view and update your profile in the App, or contact us.
- Deletion: request deletion of your profile and personal data by emailing us; we will remove it unless we must keep certain records to meet legal or legitimate operational needs.
- Notifications: you can turn off push notifications in your device settings and opt out of message channels.
7. Children
The App is intended for Toastmasters members and leaders and is not directed to children under 13. Where the App is used for youth or Speechcraft programs involving minors, registration should be made by a parent, guardian, or authorised club officer with appropriate consent.
8. Changes to this policy
We may update this policy from time to time. Material changes will be reflected by the “Last updated” date above.
